Support meeting and special event planning and execution. Projects will include working with internal and external stakeholders, vendors, members, and customers on all aspects of SEMA’s 70+ meeting and events, including events for SEMA Board of Directors, Membership and Councils, International, Government Affairs, SEMA, and PRI Shows.
RESPONSIBILITIES AND AUTHORITY
Support activities of Events Department as requested along with external production partners to implement event strategies to achieve objectives and goals.
Coordinate hotel accommodations for guests (including Board Members, VIPs, Executives, Council Members, Staff, Vendors, Hall of Famers) for all meetings and events. Handle all guest requests, updates, communication with hotels, and follow-up communication with guests.
Assist process to reconcile final bills and deposits internally through Purchase Orders and Credit Card expensing, keeping extensive backup for future events.
Support process of researching venues and develop relationships with vendors as needed.
Coordinate activities for SEMA office functions including catering, ordering, coordination, and communication.
Organize VIP / BOD amenity concepts, ordering and fulfillment.
Contribute to the overall vision of an event or meeting and provide new and forward-thinking ideas to improve annual events as needed.
Coordinate with internal and external customers on the collection and dissemination of meeting and event details and information.
Collaborate with team, stakeholders, and SEMA departments to continually update and implement project management tools that improve the tracking and execution of meetings and events.
As directed by management, perform other assignments and duties as required.

Reports to Trade Show Director.
Interfaces with Trade Show, Events Division staff.
Interfaces with all SEMA and PRI departments as needed.
Interfaces with Association members and aftermarket automotive organizations and individuals.
Interfaces with outside vendors and suppliers.
SKILLS AND KNOWLEDGE REQUIRED
A Bachelor’s Degree or equivalent. Requires 1- 2 years of related experience.
Detail oriented and project management skills.
Outstanding written and oral communication skills (to effectively communicate at every level of the organization).
Exceptional problem solver.
Ability to thrive in a fast-paced environment.
Agile and capable adjusting quickly
Expert in word processing, database, and spreadsheet software.
Ability to travel as needed.
Knowledge of office equipment including computer, telephone, printer, and copy machine.
