Role Summary
The Director of Finance and Administration will oversee all aspects of financial operations, internal controls, and strategic financial planning for the organization. The successful candidate will balance high-level strategic tasks with day-to-day financial operations, supervise a small accounting and administration team (one direct report), and act as a strategic partner to the executive leadership team. Experience in cost accounting and an inventory-based business environment will be advantageous for success in this role.
Key Responsibilities
Strategic Financial Leadership and Partnership
Oversee all financial operations, including financial reporting, budgeting, and forecasting, ensuring alignment with long-term business objectives.
Provide strategic financial insights to senior management, particularly in areas such as capital investments, pricing decisions, acquisitions, and contract negotiations.
Function as a strategic partner to the executive team, contributing to the company’s long-term vision and using financial insights to shape high-level business strategies and growth initiatives.
Internal Controls and Financial Risk Management
Implement and maintain robust internal controls to safeguard company assets and ensure compliance with GAAP standards and principles and other regulatory standards.
Proactively develop strategies to identify, assess, and mitigate financial risks, with a focus on optimizing profitability and cost efficiency.
Ensure compliance with local, state, federal, and international laws and regulations, including tax filings and reporting requirements.
Hands-on Financial Operations and Process Improvement
Manage day-to-day financial operations, including billing, accounts payable, accounts receivable, payroll, and cash management, while supervising one accounting and administration staff member.
Support accurate and efficient financial processes, with a focus on improving cost control and ensuring profitability.
Continuously assess the scalability of financial systems, ensuring they are capable of supporting the company’s growth trajectory and adapting to evolving business needs.
Financial Reporting and Compliance
Prepare and publish accurate and timely financial statements in compliance with GAAP or IFRS standards.
Monitor and manage the company’s financial reports, ensuring budgetary control and providing variance analysis to track financial performance.
Develop and maintain key performance indicators (KPIs) and financial dashboards to monitor real-time business performance.
Team Leadership and Development
Lead, mentor, and support the sole accounting and administration team member, ensuring they are equipped with the necessary tools, training, and guidance to succeed in their role.
Take a hands-on approach in developing the accounting team member's skills and providing clear direction in their day-to-day tasks.
Delegate responsibilities as needed, balancing high-level strategic tasks with the operational needs of the finance department.
Cross-Departmental Collaboration and HR Oversight
Collaborate with Operations to ensure financial strategies align with broader organizational goals and operational requirements.
Oversee payroll management and employee benefits, including 401(k) and health insurance programs, ensuring compliance with local and international labor laws for both on-site and remote employees.
Technology and Digital Transformation
Lead the implementation of innovative financial technologies and digital transformation initiatives, such as AI-driven data analytics and automation tools, to optimize efficiency and ensure the finance department remains at the forefront of industry best practices.
Ensure the adoption of cloud-based financial systems and tools that enhance productivity and improve workflow efficiency across departments.
8. International Payments and Compliance
Manage the payment processes for international vendors, ensuring timely and accurate payments while adhering to local and international banking laws.
Ensure compliance with international banking regulations, including foreign exchange rules, anti-money laundering (AML) requirements, and cross-border transaction laws.
Maintain up-to-date knowledge of international payment systems and banking requirements to optimize the efficiency of global transactions.
Qualifications:
Bachelor’s degree in finance, Accounting, or Business Administration (MBA or master’s preferred).
Professional certifications such as CPA or CMA are highly desirable.
Minimum of 5-7 years of experience in financial management, with a strong understanding of GAAP, internal controls, and financial risk management.
Experience in cost accounting and inventory management is advantageous, particularly in an inventory-based business environment.
Strong leadership and communication skills, with the ability to manage a small team and collaborate with various departments.
Proven ability to lead digital transformation initiatives and integrate modern financial technologies (e.g., AI, automation).
Strong analytical and critical thinking skills, with a proven track record of making data-driven decisions.
